Title: Meetings & Events Lead
Reporting to: Director of Membership & Brand Strategy
Part-Time – 30 Hours/Week (Depending on the Season)

MAST Travel Network, an Oak Brook based travel agency consortium sales and marketing company, is seeking a Meetings & Events professional to join our innovative team. The ideal candidate is passionate about their work, excited to learn and adapt to changing and growing responsibilities and curious about the travel industry. This person must be detail oriented, and a clear communicator.

This position is responsible for MASTs 30+ annual meetings and events. This individual will work with the MAST team to create and host world-class events for the membership, and working with supplier partners to create unrivaled, educational opportunities.

Responsibilities:
- Collaborate on event design that delivers an outstanding user experience
- Management of all aspects of meetings, trade shows, training events, etc. from planning through execution
- Build, organize and maintain registrations utilizing a Registration Management Platform like E-Show, Eventbrite, or Zoom Administer online registration services and prepare registration data for event use
- Work with MAST team to create, design and prepare all print, electronic and any other materials (name badges, event apps, etc.) needed for an event.
- Research, review and recommend event venues
- Negotiate contracts, BEOs, etc. each event planned annually, contracting the best possible rate for MAST and its members Serve as the main point of contact for each event venue
- Help develop event themes and agendas, working collectively with the Meetings and Events Committee
- Budget and monitor event expenses to ensure that each event is within allotted budget
- Coordinate speakers, A/V, entertainment, catering and decorative services
- Contribute content for event communications and responsibilities amongst staff, suppliers and membership
- Develop strategies and coordinate activities to meet event participation goals and increase attendance
- Assist members, suppliers, participants, attendees with questions, changes, concerns, requests
- Administer and track Annual Awards night reports and submissions

Expectations for this Position:
- Information management: Stay current on event and meeting planning news, as well as travel industry news, be knowledgeable on the issues of the day, challenges of the marketplace, know what our competition, suppliers, and other travel-related companies are doing and how this activity relates to MAST
- Engage members and suppliers, understand and anticipate their concerns and issues
- Willing and able to, on occasion, travel out of town and work long days and weekends, performing physical tasks as needed at company events

Experience:
- Event and Meeting planning experience
- Well versed in Event Management Software
- Project Management platform experience
- CRM knowledge a plus
- Proficiency in Microsoft products, specifically Excel and PowerPoint
- Travel Industry Experience a plus
